Administrative Assistant

Castleton-on-Hudson, NY

Fusco Personnel is actively recruiting for a highly organized and proactive Administrative Assistant to join our team and provide essential support to our office. The ideal candidate will have strong computer skills, experience in a fast-paced, service-oriented environment, and the ability to manage multiple tasks and priorities efficiently. This is a full-time, direct hire opportunity located in Rensselaer County, NY.

The Administrative Assistant will play a key role in supporting the day-to-day administrative operations of our office, with a strong emphasis on service department coordination. This position requires someone who thrives in a fast-paced, service-driven environment and can juggle multiple tasks with professionalism and efficiency.

Duties and Responsibilities

• Serve as the central point of contact for internal departments and field technicians
• Handle a high volume of incoming service calls and emails (approx. 20+ calls/day)
• Assist in coordinating technician assignments based on work history, staffing needs, and job requirements (note: this is a coordination role, not full scheduling)
• Read and interpret service tickets to determine parts needed, job history, and technician requirements
• Generate purchase orders for parts requested by field techs in real-time
• Oversee vehicle service scheduling and general fleet administrative support
• Perform daily administrative functions including data entry, filing, and document management
• Provide basic bookkeeping support and interface with finance as needed
• Ensure smooth office operations by supporting various departments and managing daily office tasks
• Uphold  professional standards in communication, organization, and customer service

Qualifications and Experience

• Prior experience in a similar role within a service-oriented, industrial, or construction-related environment preferred
• Strong computer skills including Microsoft Office and industry-specific platforms (experience with service dispatch or PO systems a plus)
• Excellent organizational skills and attention to detail
• Ability to multitask and prioritize responsibilities in a dynamic setting
• Proven initiative and a proactive, solution-oriented mindset
• Effective communication skills, both written and verbal
• Strong team player who can also work independently

Salary

• $50,000-$65,000 – based on candidate experience and skillset
