Description We are looking for an experienced Administrative Assistant to join our team in Westlake Village, California. This Contract position is ideal for a highly organized individual who thrives in a collaborative environment and enjoys providing excellent support in both administrative and customer service roles. The role includes opportunities to work with design tools and contribute to branding efforts, making it a dynamic and engaging position. Responsibilities: - Respond promptly to customer inquiries via phone and email, ensuring a high level of satisfaction and professionalism. - Identify and implement opportunities for improving operational processes to enhance team efficiency. - Collaborate with various internal departments to address client needs and deliver proactive solutions. - Create and refine print-ready materials and digital designs using Adobe Illustrator and Canva. - Maintain consistency in branding across all design assets and marketing materials. - Oversee print production tasks, including file preparation, formatting, and vendor coordination. - Stay updated on design trends and software innovations to improve visual quality and workflow. - Perform general administrative tasks, such as scheduling appointments, data entry, and email correspondence. - Support inbound and outbound communication efforts, ensuring timely and accurate information exchange. - Utilize Microsoft Office tools such as Excel, Word, PowerPoint, and Outlook to complete daily tasks efficiently. Requirements - Minimum of 3 years of experience in administrative or customer service roles. - Proficiency in handling inbound and outbound calls with professionalism and clarity. - Strong skills in data entry and email correspondence. - Experience with scheduling appointments and managing calendars. - Advanced proficiency in Microsoft Excel, Word, PowerPoint, and Outlook. - Familiarity with design tools such as Adobe Illustrator and Canva is highly preferred. - Ability to manage multiple tasks and prioritize effectively in a fast-paced environment. - Excellent communication skills and attention to detail.
